Build your booking form

Make a simple form for booking requests, and let the bot send it as a link so customers fill everything in one go.

What it does

Instead of asking questions one by one in chat, the bot can send a Fill booking form button. The customer taps it, a short form opens on their phone, and when they submit it the request appears in Bookings. You build that form in Service Form.

When to use it

Sharma Travels

A trip needs many details: pickup, drop, date, time, number of passengers and vehicle type. Vikram uses a form so customers fill it in once, instead of answering six chat questions.

Steps

  1. Open Service Form and add fields

Open Service Form. The page is called Service forms and lists every form your bot sends as a tab, for example Book a Room · 14 (the number is how many fields it has). Pick the form you want to change, then tap + Add field. Pick a type:

    • Dropdown: a tap-to-open list, best for more than three choices.
    • Radio buttons: all choices visible, best for two or three.
    • Date: a calendar for visit or delivery dates.
    • Short text / Long notes: names, phone numbers, or a description.
    • Toggle: a yes/no switch, like "Do you need pickup?".
    • Text only: a message on the form that needs no answer.
  2. Fill in each field

Give every field a label. Dropdown and Radio buttons need at least 2 options. Use the arrows to reorder fields. The Live preview on the right shows what customers will see.

  3. Name the form (optional)

At the top of the builder, type a Form name, for example "Book your room" (up to 60 characters). Tap Hindi / Marathi to add the name in those languages. The name becomes the form's tab label, the header of the Live preview, and a small label on each booking made with that form. Leave it empty and the tab keeps the name of the button that opens the form, with "Service Request" as the preview header.

  4. Save the form

Tap Save. Only the form you picked is saved, and only what you changed. If something is missing, a Can't save yet box tells you what to fix.

  5. Let the bot send the form

Go to Auto-Replies and create (or edit) a reply. Set Reply action to Send booking form link, write the Button text (for example "Fill booking form", up to 20 characters), and save. Now when a customer sends that keyword, they get a button that opens your form.

Example

storefrontPerfect Fit Tailors

Ramesh's form has: Choose a service (Shirt, Trouser, Blouse, Alteration), Preferred visit date, Your name and Anything else we should know?. A customer types "book", taps Fill booking form, and the request shows up in Bookings with all four answers.

Good to know

  • Each customer gets their own form link. It works once, for 30 minutes. If it has expired, they just send the keyword again for a fresh one.
  • The form opens in the phone's browser. Customers don't need to install anything.
  • Travel businesses see Load Travel Starter Fields on an empty form, a ready-made set to start from.
  • Vehicle Picker only appears after you turn on Enable fleet & route fares in Settings.
  • Each reply can have its own form. You can edit all of them from the tabs on Service forms, or in the reply editor's Form fields section (use Copy from Service Form settings there to start from the default form). A tab that says uses default form has no questions of its own: tap Give it its own fields to start one, or Edit default form to change the shared one.
  • The Default form section at the bottom is used only by form replies that have no fields of their own. The line above the builder shows which button or keyword sends the selected form, with a View in Auto-Replies link.
  • In Auto-Replies, a reply that sends a booking form shows its Form name with an Edit in Service Forms link. The name is only edited on Service forms.
  • A tab with an Off badge belongs to a reply that is switched off.
  • The tabs follow your bot's menu: the first form a customer can reach from the greeting is the first tab, and so on. Forms the menu doesn't reach come last.
  • A field keeps its field name for good. Changing a question's wording does not rename it, so past bookings and "Only show this field when…" conditions keep working. Only a new field gets a name made from its wording.
  • If a question has Hindi or Marathi text, changing the English wording leaves that text as it was and the card says Hindi/Marathi text not updated. Removing an option also removes its Hindi/Marathi text, and any field that was shown only for that answer asks you to choose a new one before you can save.
  • Staff can see the forms but only the owner can change them, and the Default form is only visible to the owner. If your forms do not load, you will see Couldn't load your forms with a Retry button.
  • Coaching businesses using Bot Builder build their Free demo and Admission forms there instead. Once you have published in Bot Builder, the form tabs are view-only and say Managed in Bot Builder — edit it there.
